Responsibilities

The Department Secretary is responsible for:
  • Facilitating good communications among staff, contractors, vendors and others by answering the telephone, identifying self and the department in order to ensure accurate and timely recording and relaying of messages, work requests and other pertinent information.
  • Utilizing appropriate written and verbal communication skills when communicating with interdeparmental personnel, outside contractors, vendors and agencies to convey a high level of personal attention and to promote personal satisfaction.
  • Maintaining confidentiality of all information classified as such by strictly adhering to hospital confidentiality and information policies.
  • Promoting efficient and accurate processing of departmental information by utilizing good communication skills among the department manager, assistant managers and all Engineering/Maintenance staff members, as well as other hospital personnel.
  • Organizing, maintaining and updating departmental files and records in an accurate manner to provide for the timely and efficient retrieval of inspection and service reports, forms and all other departmental records.
  • Utilizing assigned copying machines properly and in a timely manner to fulfill the copying needs of the department.
  • Sorting incoming mail and distributing it to appropriate persons in a timely manner to allow for efficient review, reply, scheduling, distribution, etc.
  • Maintaining an adequate inventory of stationery supplies and forms in order to maximize departmental efficiency and work preparedness.
  • Initiating purchase orders with proper authorization in order to expedite the requisitioning of goods or services.
     

Qualifications

EDUCATION AND EXPERIENCE:

  • High school diploma/GED required.
