Responsibilities
Under general direction of the PM&R Director, the Department Secretary provides administrative support to the PM&R Department and receives into the department primarily adolescent, adult and geriatric outpatients and patients' families/visitors as the patients report for treatment.
Essential Functions:

Acknowledges outpatients in a courteous manner as they arrive in the department (or by phone) and immediately notifies the appropriate PM&R staff member of their arrival so that their waiting time is minimized. Registers new outpatients and takes copays, if needed.

Organizes, maintains and updates departmental files and records in an accurate manner to provide for timely and efficient retrieval of information concerning patient records, treatment statistics and other department information.

Accurately compiles all necessary monthly treatment statistics within five (5) working days after the end of each month for review by the Director and forwards to the designated departments.

Accurately processes all inpatient and outpatient charges for which she/he is responsible via the departmental computer system within five (5) working days after receipt of charges to facilitate billing and generation of revenue and treatment statistics in a timely manner.

Forwards all required patient forms, insurance forms and other necessary information to the proper department to facilitate timely processing of physical medicine services.

Copies patient treatment information in a prompt manner according to established medical records policy in order to fulfill requests from appropriate sources.

Performs patient pre-registration, registration and scheduling. Schedule to be designed in such a way as to optimize workflow for the clinic.

Completes all prior authorization steps as required by third-party payer to ensure payment.
Qualifications
EDUCATION AND EXPERIENCE:

High school diploma/GED required.
