Full Time, Days / Evenings - Location: Grand View Ortho & Neurosurgery Center, 103 Bethlehem Pike, Colmar, PA. Hours: Mon/Tues 11:30am-8pm, Wed/Thurs 7am-3:30pm, Fri 8am-4:30pm alternate with 7am-11am every other Sat, 8am-12pm.

Responsibilities

Under general direction of the PM&R Director, the Secretary/Receptionist provides secretarial support to the PM&R Department and receives into the department primarily adolescent, adult and geriatric outpatients and patients' families/visitors as the patients report for treatment. Tasks include, but are not limited to:

  • Acknowledging outpatients in a courteous manner as they arrive in the department (or by phone) and immediately notifying the appropriate PM&R staff member of their arrival so that their waiting time is minimized. Registering new outpatients and taking co-pays, if needed.
  • Organizing, maintaining and updating departmental files and records in an accurate manner to provide for timely and efficient retrieval of information concerning patient records, treatment statistics and other department information.
  • Accurately compiling all necessary monthly treatment statistics within five (5) working days after the end of each month for review by the Director and forwarding to the designated departments.
  • Accurately processing all inpatient and outpatient charges for which she/he is responsible via the departmental computer system within five (5) working days after receipt of charges to facilitate billing and generation of revenue and treatment statistics in a timely manner.
  • Forwarding all required patient forms, insurance forms and other necessary information to the proper department to facilitate timely processing of physical medicine services.
  • Copying patient treatment information in a prompt manner according to established medical records policy in order to fulfill requests from appropriate sources.
  • Performing patient pre-registration, registration and scheduling. Schedule to be designed in such a way to optimize workflow for the clinic.
  • Completing all prior authorization steps as required by third0party payer to ensure payment.
     

Qualifications

EDUCATION AND EXPERIENCE:

  • High school diploma/GED required.

  • Strong verbal communication and listening skills.
  • Effective interpersonal skills.
  • Knowledge of medical terminology.
  • Ability to maintain the strictest levels of confidentiality.
  • Excellent organizational skills.
  • Ability to simultaneously handle multiple priorities.
