Responsibilities

The Administrative Assistant performs a variety of office administrative duties, often of a confidential nature, for senior management.

Essential Functions:
  • Receives employees and visitors who enter the department and conveys an appropriate level of personal attention to these persons in order to promote customer satisfaction.
  • Answers and screens telephone calls for the Vice President in order to facilitate good communication and project a positive image for Administration and the Hospital.
  • Demonstrates a satisfactory level of competence in secretarial and clerical duties performed daily, including, but not limited to, dictation; transcription; typing; word processing; editing; photocopying; researching; and distributing copies of minutes, memos and other correspondence, so that the office functions effectively and efficiently.
  • Opens and sorts incoming mail daily in order to organize documents received.
  • Schedules appointments, luncheons and meeting rooms as requested. Arranges attendance at conferences as indicated, including travel arrangements and check requests, in order to assist in the daily operations of the office.
  • Maintains an adequate inventory of office supplies in order to maximize department efficiency.
  • Organizes, maintains, and updates files and records as needed so that documentation can be stored accurately and retrieved in a timely and efficient manner.
  • Collects data from hospital departments, organizes data and enters into software or produces reports, graphs and charts for various projects and reporting mechanisms.
  • Maintains a system of reminders, holds materials to be reviewed on a given date, and prompts response/reminders of same on a daily basis.
     

Qualifications

EDUCATION AND EXPERIENCE:
  • High school diploma/GED and over 1 to 3 years of administrative experience required.
  • Associate's degree in Business or related field of study and up to 6 months of administrative experience preferred.

SKILLS AND ABILITIES:
  • Demonstrated analytical skills.
  • Demonstrated written communication skills.
  • Strong verbal communication and listening skills.
  • Ability to maintain the strictest levels of confidentiality.
  • Excellent organizational skills.
