Office Assistant, Hospice
Full Time, 8am-4:30pm, Monday-Friday

Responsibilities
The Department Secretary shows competency of all aspects of day-to-day office functioning in hospice. The Department Secretary acts as a liaison between patient/family, hospital personnel, outside vendors and staff. Supports all hospice staff, and performs accounts payable duties, vendor bills and cost report preparation as assigned. Oversees purchasing of supplies and is responsible for renewable employee requirements. Has ability to navigate computer software and perform intake, scheduling and medical records tasks as assigned. The Department Secretary answers phones and processes confidential information.
Essential Functions:

Triages phone calls as to importance/and or need, pages and/or puts into Nurses and staff's voice mail.

Assists in assembly of new charts and scanning records into EMR.

Assists in sending orders.

Assists hospice manager in planning of special programs and in-services.

Orders stationary and creates invitations, letterheads, programs, etc. for special programs.

Assist with printing labels for bereavement mailings.

Prepares documents for trainings, meetings, education and patient needs.

Assumes responsibility for setting up and obtaining special reports through the necessary computer programs to provide data for decision and program making.

Experience with CASPER, Deyta and HIS submissions preferred.

Assumes oversight for management of contracts and insurance credentials, renewal dates, policies and creates new forms as directed.

Prepares all one time contracts, obtains required signatures, send to vendor and obtains a completed contract to scan into EMR.

Reconciles detailed breakout of monthly supply expenses, DME, and pharmacy expenses and tracks to assure accuracy as assigned.

Responsible for accounts payable, vendor bills and cost report preparation.

Prints updated NOEA and gets it to the appropriate person to sign via email, fax or field staff.
Qualifications
EDUCATION AND EXPERIENCE:

High school diploma/GED required.

And over 6 months to 1 year of secretarial duties required.

And over 6 months to 1 year data entry, Microsoft Office, including Word and Excel required.
