Responsibilities

The Office Manager provides the leadership and hands-on operations of the Industrial Medicine Center when dealing with adolescent, adult and geriatric patients. The Office Manager is responsible for coordinating the daily operations and activities of the Workplace Health and Wellness office as assigned. The Office Manager supervises staff as assigned.

Essential Functions:
  • Telephoning designated industries within 24 to 72 hours following an acute visit or follow-up visit with a change in status in Workplace Health and Wellness (WHW), Department of Emergency Medicine (DEM) or Urgent Care in order to communicate physical status and work restrictions for adolescent, adult or geriatric patients.
  • Communicating with an industry's workers' compensation insurance carrier in order to provide necessary information for proper processing of the insurance claim.
  • Intervening with an industry representative, as necessary, to evaluate potential alternative duty position and to arrange for medical intervention should a condition worsen while the employee is performing alternate duty activities.
  • Working with industry to coordinate health screenings (audiogram, PFT, cholesterol screening, blood pressure screening, anemia screening and other evaluations specific to an industry's operation) in order to establish a baseline and compare subsequent evaluations of an employee's health profile.
  • Recruiting new clients and preparing proposals for new or existing services. Managing accounts with third-party administrators. Reviewing and coding charts for workmans' compensation submittal. Reviewing all charges for client billing and posting those accounts. Reviewing and posting billing to client accounts.
  • Coordinating for educational seminars (CPR, first aid, bloodborne pathogens, drug and alcohol testing, back health, carpal tunnel syndrome and other educational needs specific to an industry's operation) as required by industry to address the general concerns of the employee base and to address results of health screenings.
  • Assisting with pre-placement physical examination as per Grand View Hospital (Children's Center) or company protocols.
  • Coordinating tests to employees as required by OSHA or Department of Health (DOH) guidelines.
  • Coordinating hepatitis A/B immunizations to eligible employees as required by OSHA and requested by companies per protocol.
  • Coordinating and administering influenza vaccine programs at various industries.
  • Coordinating the Grand View Hospital Random Testing Consortium. Conducting drug and alcohol screening as per Department of Transportation (DOT) mandates and/or company policy.

Qualifications

EDUCATION AND EXPERIENCE:
  • Associate's degree and over 1 to 3 years of healthcare organization experience required.
  • Bachelor's degree preferred.

  • BAT certification, DOT Urine Drug Screen Collection certification, COHC certification within 6 months of hire required.
